Grievance & Whistleblower Protection Policy.

These terms and conditions outline the rules and regulations for the use of Mission Performance’s Website, located at https://www.missionperformance.com/.

Applies to: Employees, Clients, Suppliers, Partners and the General Public

We are committed to listening and learning. Please send all grievances and whistleblower reports to info@missionperformance.com (Subject: Confidential Grievance/Whistleblower). All submissions are treated seriously and in confidence.

This policy applies to all employees, contractors, associates, suppliers, partners, and stakeholders interacting with our business.

A grievance is any concern, problem, or complaint raised in relation to:

  • Employment or working arrangements
  • Treatment by others within or connected to the organisation
  • Health, safety, or welfare
  • Environmental or ethical conduct
  • Any breach of Mission Performance’s values, commitments, or social/environmental policies

We aim to resolve grievances quickly, fairly, and without retaliation. Where possible, informal resolution is encouraged—but if this fails or is inappropriate, a formal process is available.

Your Responsibilities

  • Raise grievances promptly and reasonably.
  • Assist in investigations if required.
  • Follow the grievance procedure and attend all relevant meetings.
  • Engage constructively, including on issues linked to environmental or social performance.

Grievance Procedure Steps & Timelines

1. Informal Resolution (Optional)

Raise the issue with your manager or point of contact as early as possible.

If informal discussion fails or is unsuitable, use the formal process below.

2. Raising a Grievance Formally

  • Submit your grievance by sending an email to info@missionperformance.com  (Subject: Confidential- Grievance)
  • Clearly describe the issue, people involved, impact, and desired outcome as well as any supporting evidence.
  • Internal stakeholders may raise it with their manager or a senior leader.
  • External stakeholders should submit via our web form or contact a designated representative.

Target Response Time: Acknowledgement within 2 working days, formal meeting within 5 working days.

3. Your Right to Be Accompanied

You may bring a fellow worker, trade union representative, or trusted support person to formal meetings. If under 18, a parent/guardian may accompany you.

Notify the organisation in advance.

4. Grievance Meeting

You’ll be invited to a meeting (typically within 5 working days) to discuss the grievance.

  • Present your concerns and supporting information.
  • The meeting may be followed by investigation or follow-up discussions.

Target Outcome Communication: within 10 working days, subject to complexity.

5. Written Outcome

You will receive a written decision outlining:

  • The outcome of the grievance
  • Any actions taken
  • Your right to appeal

6. Appeals Process

If dissatisfied, appeal in writing within 5 working days of receiving the decision.

An appeal meeting will normally be held within 5–7 working days of submission.

Where possible, the appeal will be handled by someone uninvolved in the original decision.

Appeal outcomes are final.

Environmental & Social Grievances

We encourage staff and stakeholders to raise concerns related to:

  • E-waste disposal, carbon reduction, or supply chain practices
  • Vendor non-compliance with our environmental policies
  • Access to sustainability resources (e.g. offset schemes, ethical purchasing)

These will be handled with the same care and timelines as other grievances.

Confidentiality & Retaliation Protection

We will treat grievances confidentially wherever possible and in line with GDPR. Retaliation of any kind—direct or indirect—will not be tolerated.

If a grievance leads to retaliation, the individual(s) responsible will be subject to investigation and potential disciplinary action, up to and including termination of contracts or employment.

Review & Oversight

This policy will be reviewed annually or in response to significant legal, organisational or regulatory changes.
